About the role

The Data Visualization Society (DVS) is seeking an enthusiastic, tech-savvy Mentorship Program Manager for a temporary paid contract role. Reporting directly to the Programs Director, your primary responsibility will be ensuring the DVS Mentorship Program runs smoothly, efficiently, and on schedule while leveraging automation and modern tools to enhance the participant experience.

Reporting to the Programs Director, you will take full ownership of candidate matching, community publicity, event facilitation, and data-driven program evaluation—giving you a dynamic platform to showcase your initiative, refine administrative systems, and directly shape the growth of data visualization practitioners worldwide.

Key responsibilities

  • Cohort Administration & Automation: Distribute, manage, and monitor sign-up forms, intake forms, and feedback surveys. Set up and maintain automated workflows for personalized email communications and matching algorithms.
  • Participant Matching: Match mentees with mentors based on background, expertise, goals, preferences, and logistical alignment (such as time zones), utilizing tech and AI-assisted workflows where applicable.
  • Engagement & Checkpoints: Track cohort progress and ensure pairs stay engaged at key checkpoints—including mid-cohort pulse checks (e.g., Week 5)—during the 10-week mentorship sprint. Act as the primary point of contact to resolve participant concerns, escalating to the Programs Director when necessary.
  • Onboarding & Event Facilitation: Guide participant pairs through initial goal-setting and formal mentorship agreements. Host and facilitate virtual cohort kickoff sessions and final wrap-up/showcase events.
  • Documentation & Governance: Update and maintain the Mentorship Program Charter, mentorship agreement templates, conduct guidelines, and core process documentation as approved by the Programs Director.
  • Publicity & Community Engagement: Manage publicity assets across DVS social channels (LinkedIn, Instagram) and maintain the mentorship showcase page on the DVS website.
  • Impact Measurement & Continuous Improvement: Measure program outcomes, capture success metrics for each cohort, and prepare concise summaries to socialize results with the broader DVS community. Use exit and pulse survey data to recommend iterative improvements for subsequent cohorts.
  • Director Support & General Assistance: Collaborate with the Programs Director on broader initiatives and lend ad hoc support to DVS as needed and available.

Qualifications & Preferred Attributes

  • Demonstrated experience in program coordination, project management, or volunteer/mentorship administration.
  • Enthusiastic about mentorship and proactive in taking initiative to drive operational improvements.
  • Tech-savvy and AI-literate; keen on leveraging AI tools, workflow automation, and data utilities to optimize operations.
  • Strong written and verbal communication skills, with an eye for detailed tracking and data-driven outcome measurement.
  • Alignment with DVS’s mission to foster a supportive, inclusive data visualization community.
